Vendor registration guidelines

Dry Goods

Mid Atlantic Reptile Supply Company is the dry goods exclusive vendor for all events.  We will allow a small amount of dry good items to be sold by other vendors on a case by case basis.   Please contact us if you have any questions on what you are allowed to bring.

Feeder Rodents

No vendor has feeder exclusivity at any Mid-Atlantic Reptile Expo Event.


Feeder Insects

No vendor has feeder insect exclusivity at any Mid-Atlantic Reptile Expo event.

Animals

All animals must be healthy and legal to sell within the state of Pennsylvania and North Carolina. Vendors who intentionally and repeatedly offer illegal or unhealthy animals for sale may be banned from future shows.

Other products

Going forward,  vendors are to have no more than 25% of ONE table (2ft) allotted to non reptile related items such as 3D printed toys, crystals, etc. As always, MLM products are prohibited.

This rule does not apply to 3D printed enclosure items (hides, ledges, bowls etc), or those who sell merchandise that is in theme with the animals they sell/produce (ex: you sell axolotls and sell axolotl merchandise.)

Vendor Registration

All vendors must register and pay via website to be guaranteed vendor space within in the Mid-Atlantic Reptile Expo event. Each vendor must register and pay for their own table. Tables cannot be split, shared, collaborated/collected or given to a non-registered vendor. No exceptions. 

Cancellations

Vendors who have booked tables for a show and need to cancel for any reason must notify Mid-Atlantic Reptile Expo via e-mail to midatlanticreptileexpo@gmail.com or Facebook by 8:00am EST at least 30 days prior to the show date to receive table credit. Vendors canceling after this time will not be given table credit or refunds. Vendors who are double booked with another show the same day are not entitled to table credit or a refund and will no longer be permitted to attend Mid-Atlantic events. Vendors who no-show a booked show without contacting Mid-Atlantic Reptile Expo will be banned from attending future Mid-Atlantic Reptile Expo events.

Exhibitors will have access to the PENNSYLVANIA/VIRGINIA event facilities the Friday before the event from 2 pm  - 6pm. 

On the day of the event, set up starts at 6am. All vendors must be set up and ready to go by 8:45am. All vendors are required to stay set up until the end of the show at 4pm.


GREENVILLE

Exhibitors will be notified about set up on friday, due to other events happening times will vary when we will have access.

Each exhibitor is expected to appropriately display their materials and staff their tables in order to prohibit shoplifting or theft. Mid-Atlantic Reptile Expo is not responsible for any theft before, during, or after each event.

Exhibit Displays

Each exhibitor is expected to create a professional, attractive display area in their space. It is mandatory that Vendors have a tablecloth that reaches the floor to cover all their tables. The dimensions for floor length tablecloths are 90″x156″. All vendors must have visible signage. This can be in the form of banners, business cards, or even a piece of printed paper.

Exhibitors who choose to remove non-venomous animals from their enclosures or allow guests to handle their animals are responsible for maintaining control of the animals at all time. Each exhibitor is exclusively liable for any damage to property or personal injury resulting from handling of their live animals on the host facility premises.

Each exhibitor is responsible for ensuring that no animals leave their exhibit area unless under the control of an employee or customer. Each vendor is responsible for recapturing any escaped animals without unreasonable disruption to other exhibitors or guests. Any escaped animals must be immediately reported to Mid-Atlantic Reptile Expo. Any lost animals that are found after event hours or after the event closes become the property of Mid-Atlantic Reptile Expo, with no obligation for return to the original owner.

At the end of each show, vendors are expected to leave their booth space reasonably clean without excessive trash on the tables or the floor. Vendors not adhering to this guideline will be asked to pay a $50 cleaning deposit when reserving space at future shows.

Please be advised that the exhibitor is responsible for the security of their booth and its contents during the time it is in the expo facility. You may wish to consult your insurance provider regarding your coverage for this type of event.

Mid-Atlantic Reptile Expo reserves the right to strictly enforce the event rules. Any vendor who is determined to be in violation of these rules by will be, at Mid-Atlantic Reptile Expo’s discretion, removed from the show. Exhibitors instructed to leave must immediately vacate the host facility premises. Exhibitors refusing to comply will have their materials removed at their expense and will bear all risk of damage associated with the movement of their materials and animals.

M and B Promotions reserves the right to use any photograph and/or video taken at the Mid-Atlantic Reptile Expo, without the expressed written permission of those included within the photograph and/or video. M and B Promotions may use the photograph and/or video in publications or other media material produced, including but not limited to: brochures, invitations, books, newspapers, magazines, websites, etc. To ensure the privacy of individuals and children, images will not be identified using full names or personal identifying information without written approval from the photographed subject, parent or legal guardian.​

Venomous Regulations/Sales Policy

PENNSYLVANIA RULES


These rules are intended for the protection of you as the vendor, the buyer, the general public and the show. These rules are not flexible and will be enforced. Please help us to continue to allow venomous animals by following these simple, but necessary rules.


Containers: All venomous reptiles must be housed in secured, taped and unbreakable containers and labeled as such prior to the customers leaving with purchase. No venomous reptiles may be removed from containers and lids of such containers shall not be removed. NO venomous reptile will be taken out of its container nor will the container be unsealed under any circumstances. Only RED tape will be allowed on venomous containers. Red tape is to be used ONLY on venomous containers.

Venomous snakes are not to be sold to anyone under 18 or to anyone who obviously does not possess the knowledge or experience to handle venomous snakes. Venomous reptiles which have been sold will remain at vendors’ booth until the buyer is departing from the show. At this time the vendor will escort the customer as they exit the show. Any vendor not adhering to this policy and giving their customers venomous reptiles purchased will be ejected from the show immediately and no refund issued.


NORTH CAROLINA RULES


These rules are intended for the protection of you as the vendor, the buyer, the general public and the show. These rules are not flexible and will be enforced. Please help us to continue to allow venomous animals by following these simple, but necessary rules.


  1. All venomous reptiles must be in a locked enclosure. (they do not need to be in a locked enclosure individually) (latching tote lids, zip ties, carabeners do not qualify as locks)
  2. The enclosure must be labeled “venomous reptile inside” and a list must be placed on the outside with the quantity of each species, the scientific name, and the common names listed. 
  3. Tables with venomous animals must be netted.
  4. You must have bite and escape protocol procedures. Bite protocols, and escape protocols will be available at the merchandise tables for vendors and venomous buyers.
  5. Upon selling of venomous animals, you must identify that the purchaser lives in a county where venomous is legal, and the purchaser must be at least 18 years of age. (a list of legal counties will be provided to you)
  6. Once a sale has been made, the seller must walk the purchaser and animal to the merchandise table where the purchaser will sign a waiver of liability, and store the animal until they are ready to leave. Once the purchaser is ready to leave, they will be escorted out of the building by staff.


Any vendor not adhering to this policy and giving their customers venomous reptiles purchased will be ejected from the show immediately and no refund issued.

State Regulations

The Commonwealth of Pennsylvania Department of Agriculture requires all reptile and amphibian dealers and propagators (breeders) to be licensed. Please call (717)783-9550 ext. 211 for any questions on the proper licenses needed.

 Adopting or selling cats or dogs is strictly prohibited.
