Vendor Rules

All animals must be healthy and legal to sell within the state of Pennsylvania. Vendors who intentionally and repeatedly offer illegal or unhealthy animals for sale may be banned from future shows.

Dry Goods: No vendor has dry-goods exclusivity at any Mid-Atlantic Reptile Expo event. To avoid excessive duplication of product, the number of vendors offering more than one (1) table of new dry-goods will be capped at two (2). “Dry Goods” are considered to be products utilized inside reptile enclosures to maintain reptiles, such as substrate, vitamin supplements, light bulbs, etc. Aquariums, enclosures not packaged with other dry goods, screen enclosures, oversized bales of aspen or bedding, custom-built enclosures, t-shirts, and other reptile merchandise are NOT considered dry goods. This cap applies to dry-goods being purchased from a distributor or manufacturer for retail sale. Any vendor may offer dry goods that they or their company produces themselves without restriction. Any vendor at a show without a dry goods slot must limit their dry goods to one table, and the dry goods offered must make physical contact with the tabletop (no racks or shelves may be used to expand the dry-goods offered).

Feeder Rodents: No vendor has feeder exclusivity on rabbits, guinea pigs or chicks at any Mid-Atlantic Reptile Expo event. Mountain State Feeders is the exclusive provider of live and frozen feeder mice and rats at all Mid-Atlantic Reptile Expo events. No other vendor may offer live or frozen feeder mice and rat for sale at any Mid-Atlantic Reptile Expo event.

Feeder Insects: No vendor has feeder insect exclusivity at any Mid-Atlantic Reptile Expo event. To avoid excessive duplication of product, the number of vendors offering more than half of one table of feeder insects will be capped at two (2). Any vendor at a show without a feeder insect slot must limit their feeder insects to half of one table.

Vendor Cancellation: Vendors who have booked tables for a show and need to cancel for any reason must notify Mid-Atlantic Reptile Expo via e-mail to info@midatlanticreptileexpo.com by 8:00am EST at least 10 days prior to the show date to cancel without penalty. Vendors cancelling after this time will be required to pay for the cancelled tables in full and will be required to pre-pay in full for all future tables booked. Vendors who no-show a booked show without contacting Mid-Atlantic Reptile Expo will be responsible for their full table placement plus 25%, and will be required to pre-pay in full for all future tables booked.

Bounced Checks: All bounced checks will result in a $25 fee charged by Mid-Atlantic Reptile Expo, plus a bank fee of $25, then Mid-Atlantic Reptile Expo will require the vendor pay for the tables for which the check bounced, plus these fees, and then pay in advance for all tables for the next Mid-Atlantic Reptile Expo show they wish to vend. The vendor will not be allowed to vend at another Mid-Atlantic Reptile Expo show until this criteria is met.

Access to Facilities: Exhibitors will have access to the event facilities only during the times specified in the load-in and load-out schedules. Vendor set up starts at 6am. All vendors must be set up and ready to go by 8:45am. All vendors are required to stay set up until the end of the show at 4pm.

Theft of Exhibitor Property: Each exhibitor is expected to appropriately display their materials and staff their tables in order to prohibit shoplifting or theft. Mid-Atlantic Reptile Expo is not responsible for any theft before, during, or after each event.

Exhibit Displays: Each exhibitor is expected to create a professional, attractive display area in their space. It is mandatory that Vendors have a tablecloth to cover all their tables. If you do not have a table cloth, one can be rented for $10 for the day. Any damage to rented table clothes will result in a $50 replacement fee. All vendors must have visible signage. This can be in the form of banners, business cards, or even a piece of printed paper.

Temperature Considerations: Vendors with animals, please be aware that at all events Mid-Atlantic Reptile Expo strives to work with host venues to keep temperatures at levels that would be reasonable for the needs of most animals.  However weather conditions should be taken into consideration and Mid-Atlantic Reptile Expo advises that vendors should make any necessary preparations they consider appropriate for their specific animals.  If it is unseasonably cold or hot, please take special precaution.

Handling Animals: Exhibitors who choose to remove non-venomous animals from their enclosures or allow guests to handle their animals are responsible for maintaining control of the animals at all time. Each exhibitor is exclusively liable for any damage to property or personal injury resulting from handling of their live animals on the host facility premises.

Escaped Animals: Each exhibitor is responsible for ensuring that no animals leave their exhibit area unless under the control of an employee or customer. Each vendor is responsible for recapturing any escaped animals without unreasonable disruption to other exhibitors or guests. Any escaped animals must be immediately reported to Mid-Atlantic Reptile Expo. Any lost animals that are found after event hours or after the event closes become the property of Mid-Atlantic Reptile Expo, with no obligation for return to the original owner.

Wild-Caught Animals: There is no restriction regarding sale of legal, wild-caught animals. Exhibitors are not required to display any particular signage, but are required to disclose any pertinent information to interested guests, including whether a particular animal is wild-caught or captive bred.

Exhibitors Authorized Representative: Each vendor must name at least one person to be their representative in connection with installation, operation and removal of the exhibit. Please indicate this person’s name on your application form. Booths must be staffed during public show hours.

Liability and Insurance: Please be advised that the exhibitor is responsible for the security of their booth and its contents during the time it is on the Carlisle Expo Center. You may wish to consult your insurance provider regarding your coverage for this type of event.

Guests Bringing Animals: Guests will be allowed to bring up to two animals inside the event. We feel strongly that this interaction will provide guests with an additional opportunity to engage in discussion with exhibitors and will generate excitement among event attendees. Animals brought by guests to the event must be in good health and under their control at all times. Guests may not bring animals into the event for the purpose of selling them at the event, as only show vendors with appropriate permits may sell animals. Any guests who violate these policies will be asked to leave the show.

Clean-up: At the end of each show, vendors are expected to leave their booth space reasonably clean without excessive trash on the tables or the floor. Vendors not adhering to this guideline will be asked to pay a $50 cleaning deposit when reserving space at future shows.

Event Photography: M and B Promotions reserves the right to use any photograph and/or video taken at the Mid-Atlantic Reptile Expo, without the expressed written permission of those included within the photograph and/or video. M and B Promotions may use the photograph and/or video in publications or other media material produced, including but not limited to: brochures, invitations, books, newspapers, magazines, websites, etc. To ensure the privacy of individuals and children, images will not be identified using full names or personal identifying information without written approval from the photographed subject, parent or legal guardian. A person attending a M and B Promotions event who does not wish to have their image recorded for distribution should make their wishes known to the event photographer, and/or the event organizers, and/or contact M and B Promotions at PO Box 1132 Mechanicsburg, PA 17055, in writing of his/her intentions prior to the event. By participating in the Mid-Atlantic Reptile Expo or by failing to notify M and B Promotions, in writing, your desire to not have your photograph used by M and B Promotions, you are agreeing to release, defend, hold harmless and indemnify COH from any and all claims involving the use of your picture from the Mid-Atlantic Reptile Expo.

Violation of Event Rules: Mid-Atlantic Reptile Expo reserves the right to strictly enforce the event rules. Any vendor who is determined to be in violation of these rules by will be, atMid-Atlantic Reptile Expo’s discretion, removed from the show. Exhibitors instructed to leave must immediately vacate the host facility premises. Exhibitors refusing to comply will have their materials removed at their expense, and will bear all risk of damage associated with the movement of their materials and animals.

State Regulations: The Commonwealth of Pennsylvania Department of Agriculture requires all reptile and amphibian dealers and propagators (breeders) to be licensed. Please call (717)783-9550 ext. 211 for any questions on the proper licenses needed.

Venomous Regulations

These rules are intended for the protection of you as the vendor, the buyer, the general public and the show. These rules are not flexible and will be enforced. Please help us to continue to allow venomous animals by following these simple, but necessary rules.

Containers: All venomous reptiles must be housed in secured, taped and unbreakable containers and labeled as such prior to the customers leaving with purchase. No venomous reptiles may be removed from containers and lids of such containers shall not be removed. NO venomous reptile will be taken out of its container nor will the container be unsealed under any circumstances other then in the hot room. Only RED tape will be allowed on venomous containers. Red tape is to be used ONLY on venomous containers.

Sales Policies & Procedures: Venomous snakes are not to be sold to anyone under 18 or to anyone who obviously does not possess the knowledge or experience to handle venomous snakes. Venomous reptiles which have been sold will be tagged and remain at vendors’ booth until buyer is departing from show. Customer is to sign a waiver; then advise customer to return when ready to depart from the building. At this time the vendor will give the waiver and reptiles to show staff or Venomous Staff who will escort the customer as they exit the show. Any vendor not adhering to this policy and giving their customers venomous reptiles purchased will be ejected from the show immediately and no refund issued.

Cats and dogs are prohibited from entering the expo facilities. Adopting or selling cats or dogs is strictly prohibited.
